Oman Embassy Commercial Document Attestation: Checklist and Cover Letters

Most delays in Oman Embassy commercial document attestation start before the papers leave your office: an unsigned invoice, a missing seal, a resolution signed by the wrong person, or no letter saying who may hand the file in. This checklist covers what each company paper should carry, which letters to send with it, and how to pack the set for Delhi.

Quick answer

Oman Embassy commercial document attestation: what to prepare

Oman Embassy commercial document attestation is the last of three stamps on an Indian company paper going to Oman: a Chamber of Commerce attestation, an MEA attestation and then the Embassy of Oman in New Delhi. Oman does not accept the apostille for commercial or customs papers, under a declaration it made in March 2021, so all three stages are needed.

Each office checks the stamp before its own and the basic form of the paper. If a signature, seal or name is missing, the paper comes back and the chain restarts. Use the checklist below before you courier anything. INFINITYGRO handles the chamber, MEA and embassy stages from Delhi and quotes each set in writing; the embassy fee is extra and shown in that quote.

Part 1 · Paper by paper

Checklist for each company paper

These are the points we check when a file arrives. They are not an official embassy list, but papers that pass them rarely come back from the chamber or the MEA.

Commercial invoiceOn letterhead, signed and stamped; buyer in Oman named as in the contract; invoice number, date and value clear
Certificate of originIssued on the chamber’s form or by the issuing body, matching the invoice number, goods and consignee
Packing listSame invoice reference, buyer and shipment details as the invoice
Board resolutionOn letterhead, with meeting date, the resolution text, and signature of a director or company secretary
MOA, AOA, incorporationClean, complete copies; send a photo first so we confirm whether the chamber will accept them as they are
Power of attorneyNames of both parties in full, signed before a notary where it is a deed
Agency agreementAll pages signed or initialled, both parties named, dated
The chamber attests the signature of your company, not the truth of the figures. Correct any error before the paper enters the chain, because a corrected paper is a new paper.
Part 2 · The letters

Letters to send with the file

Two short letters on company letterhead make the file easier to handle. Neither needs a special format.

Authority letter

Signed by a director or authorised signatory, it says that INFINITYGRO may submit and collect the listed papers at the chamber, the MEA and the Oman Embassy on the company’s behalf. Attach a copy of the signatory’s ID.

Covering list

A simple list of every paper in the courier, with the number of originals and copies, the Omani party it is for, and a contact person with a phone number. It lets us confirm nothing is missing on arrival.

If your Omani buyer, bank or ministry sent its own checklist or a letter naming the papers it wants, include a copy. It settles questions about which papers need the embassy stamp.

Part 3 · Who signs

Getting the signatory right

  • Use the same authorised person across the set where possible
  • Print the signatory’s name and designation under the signature
  • Use the company seal on every signed page
  • Avoid scanned or pasted signatures on originals
  • Keep the company name identical to its registration

A chamber may ask whether the company is a member or for proof that the signatory can sign for it. We tell you in advance if your chamber is likely to ask.

FAQs

FAQs: Oman Embassy Commercial Document Attestation: Checklist and Cover Letters

Does the Oman Embassy need a covering letter?

We have not seen a fixed embassy format for one. We ask for an authority letter on letterhead and a list of papers because it lets us submit and collect on your behalf and check the set. If the embassy asks for more, we tell you.

Who should sign the authority letter?

A director, partner, proprietor or another person authorised to sign for the company, with name, designation and seal. Attach a copy of that person’s ID. The same signatory on the commercial papers makes the chamber stage simpler.

Can I send scanned copies instead of originals?

No. The chamber, the MEA and the Oman Embassy stamp signed paper documents, not scans or printouts of scans. Scans are useful only for our first check. Send the signed originals once we confirm the route and quote.

Do all papers in my set need the Oman Embassy stamp?

Only the ones the Omani party asked for. Check its checklist or letter. Sending extra papers adds charges, while missing one means a second round, so confirm the list with your buyer or ministry first.

Our invoice has a typing error. Can it still be attested?

Better to reissue it. The stamps confirm signatures, not figures, so an error stays on the legalised paper and may cause problems at the Omani bank or at customs. Correct it first, then start the chain.

Can an Indian branch office sign the papers?

Usually yes, if the signatory is authorised by the company and the paper carries the registered company name. Send a photo of the paper and the signatory’s details and we confirm before you courier it.

How long does the full chain take?

It depends on the chamber, the number of papers and the embassy’s schedule, so we do not publish one figure. We give an estimate with your written quote and add courier time from your city to Delhi and back.

Can these papers be apostilled for Oman instead?

No. Since 23 March 2021 Oman treats commercial and customs documents as outside the Apostille Convention. They need Chamber of Commerce, MEA attestation and Oman Embassy legalisation. Personal papers for Oman can still be apostilled.
